UGO is a hiring solution designed to help companies engage their employees at the heart of their talent acquisition strategy to boost their employee referrals. Company vacancies are automatically matched to the network of participating employees, who are notified of platform suggested matches to help them stop missing out on referral opportunities. UGO digitalizes, automates and gamifies the Employee Referral Program to increase and keep engagement levels high, to ensure Talent Acquisition teams can rely on a steady pool of prequalified talents.
UGO is also a job platform allowing candidates to be matched automatically to new career opportunities inside their network. We shaped their solution to give job seekers an extraordinary candidate journey experience. They have access to targeted career opportunities inside their network and can reach out to trusted connections to request more information, to evaluate the fit and to ask for a recommendation for fast-tracking their applications and increase their chances.

This user guide is intended to be read by employees of companies that have created their corporate account on UGO. It is designed to provide all essential information to make full use of UGO, including feature descriptions and procedures for access and use. After reading this guide you will be able to:
Ambassadors are registered users of the platform that have linked their personal account to their company on UGO in order to enable specific features, such as the job board and job sharing features. They use UGO for their own account in particular to refer candidates in their network for open positions to their talent acquisition team.
Candidates are registered or unregistered users of the platform that haven’t linked their personal account to a company on UGO. They use UGO for their own account in particular to find job opportunities inside their network. Candidates can receive job opportunities or job shares from Ambassadors that allow them to view the opportunity, request a recommendation and apply to the position on UGO.
Opportunities and related opportunity cards refer to platform suggested matches. UGO’s algorithms automatically matches a company’s open positions to the network of its Ambassadors to uncover their referral opportunities. For each match an opportunity card is created from which an ambassador can easily refer matched candidates.
Referrals on UGO are actions performed by Ambassadors to validate the fit of a candidate for a specific job opportunity. Referrals are required for a Candidate to be able to apply to a position on UGO.
Recruiters are registered users of the platform that are using UGO on behalf of a registered company to boost employee referrals and referral hires.
Shares on UGO allow Ambassadors to share their company’s job opportunities in private messages or on social media walls.
When your Application Owner creates your company’s corporate account on UGO, he or she receives two codes (or Company IDs) that are intended to be shared with the recruiters and employees of the company. The Recruiter ID allows members of the Talent Acquisition team to connect with their Company and unlocks key recruiting features such as job postings. The Ambassador ID allows employees to connect with their Company on UGO and enables key features such as referral and sharing features.
Users can enter their Company ID in their registration form when signing on UGO, or at any time in their account settings.
Open you web browser, then navigate to UGO at my.ugonetworking.com and click to register.
Complete the registration form with the required (*) information.
Here you can already enter your “Company ID” to link your account to your company’s corporate account on UGO. This field is not mandatory and this ID can be entered later in your account settings.
Finally, you need to agree to our Terms & Conditions as well as our Privacy Policy and click the “Register” button.
Your account has now been created but still needs to be validated. Check your email for your registration email and click to validate your account.
In the top-right corner, click on your username to access your account settings.
Your account settings allow you to complete or update your basic information, update your password and link your account to your company’s corporate account on UGO.
Your profile settings allow you to further detail you profile.
The “Help” button refers to our documents center where you will be able to find useful information about our product and FAQs.
Your Ambassador account is composed of four main sections: your “Job board”, your “Network”, your “Opportunities” and your “Messaging” pages.
This page displays your company’s job listings and your candidate referrals history on UGO.
Note: You need to have linked your account to your company’s corporate account on UGO to enable this feature.
Here you will find your company’s information card, as well as other information regarding your company’s collective network on UGO. In this illustration, company “HTW” has four Ambassadors (participating employees) and their total network is composed of 36 potential candidates.
Each job listing shows you the job title, the date on which the job was published on UGO, the referral bonus set by your Talent Acquisition team and the number of matches or potential candidates in your network on UGO.
By clicking on a job listing, you will open a detailed view of that listing that shows you which candidates in your network have been matched for a particular vacancy. If your contacts are registered on UGO you can send them in-app notifications to inform them about his opportunity. If your contacts are not registered on the platform, you will be prompted to enter their email address and they will receive an email from us.
From this detailed view you are also able to share this specific job opportunity in private messages or on your social media. You can also refer a specific candidate that is not in your network or that hasn’t been matched by our algorithm. More about these features here below.
Here you can find your candidate referral history on UGO.
Each card represents a candidate referral that you have made through this application.
The detailed view shows you the candidates that you have referred for this position and their response (e.g., “Accepted” means that your candidate has applied for this position on UGO). You can also contact your candidate by hovering our mouse over his card or your Talent Acquisition team.
This page displays your network on UGO. It is also the page from where you can import your LinkedIn contacts and invite people to connect with you on UGO.
Additionally, you are able to filter your network to search for specific contacts or profiles and it is also the place we you can accept or reject connection requests.
Tip: Unregistered users such as imported LinkedIn contacts have an “envelope” in front of their names, while registered users such as UGO connections have a “bubble” in front of their names.
You can reach out to unregistered users by providing their email address. Registered users will receive in-app messages when you contact them.
The Opportunities page displays all your “opportunity cards” which are created automatically when potential candidates in your network are matched by our algorithm for open positions in your Job Board.
Opportunity cards display the job title, the referral bonus and the number of matched candidates from your network on UGO.
This page mostly displays the same information as the one in your Job Board page in a mobile friendly way, allowing you to swipe through your platform suggested matches for each job.
From the opportunity card details, you can view the detailed job description by clicking on the job title. You can also contact your Talent Acquisition team if you require more information about the position or the candidate requirements. This is also a place where you can share opportunities and refer fitting candidates to your recruiting team.
This page centralizes messages between you, your network connections, and your Talent Acquisition team.
Messages between you and your Talent Acquisition team are anonymized by default but you can choose to share your identity should you prefer to.
UGO offers different ways to refer candidates to your employer. You can refer candidates from your network or outside of your network on UGO. You can also refer candidates that were matched by our algorithm and candidates that were not matched by the system. Finally, you can refer candidates from different pages in the application. The following pages walk you through all the possibilities.
When logging in on UGO, the Opportunities page is your default landing page. Here you can find your platform suggested matches i.e., candidates in your network that were matched to your job listings on UGO by our algorithm.
Your opportunity cards provide a high-level overview including the open position’s job title, the associated referral bonus and the number of matched candidates in your network per job listing.
From an opportunity card’s details you can refer a candidate by clicking on the “Refer” button. You will be asked to confirm your candidate referral and by doing so your contact will be notified.
Candidates that you refer who are registered on UGO will receive an in-app notification (in their Messaging page) as well as an email notification from us.
You will need to provide an email address if you refer candidates that are not yet registered on UGO. You will be requested to personalize your message to your candidate before being able to send the email through our system. Please make sure your candidate has received your opportunity email; from there your candidate will be able to review the detailed description of the job and to apply to the job on UGO if he or she wishes to be recommended for this position by you.
You can also refer candidates from your Job Board page. Here is how.
Together with the Network page, this page allows you to refer candidates that were not matched by the algorithm or that are not in your network on UGO.
In a job listing’s detail overview, you will find your platform suggested matches. These potential candidates can either be registered on UGO (see the bubble icon) or not (see the envelope icon).
Simply click on the bubble icon to refer your candidate (registered). A messaging area will prompt where you need to add a message to your candidate before sending it. Your candidate will receive an in-app and an email notification from where he or she can follow up on your referral request.
You can also refer a candidate in your network that has not yet registered on UGO. You will be asked to enter your candidate’s email address and a message before you can send your referral request. Your candidate will receive his email from where he or she can follow up on your referral request.
You can also refer candidates outside of your network on UGO or candidates inside your network that have not been matched by our algorithm. To do so, simply click on the “Refer” button in the top-right corner of a job listing’s detail overview. If your candidate is registered on UGO, you can search for him by entering his name. If your candidate isn’t registered on UGO, you will be requested to enter his email address.
Your network page also allows you to refer candidates for open positions to your Talent Acquisition team.
From your network you can search for specific contacts (e.g., LinkedIn imported contacts) and connections (UGO relationships) by using the filters at your disposal i.e., names, professional title and skills.
Select the candidate you wish to refer, then select the job for which you would like to refer your candidate. If your candidate is not registered on UGO (see envelope icon), you will be prompted to enter his or her email address. If your candidate is registered on UGO (see bubble icon) you don’t need to enter his or her email address. Complete your request with a message towards your candidate and click send.
UGO offers different ways to share your company’s job opportunities. You can share job opportunities in private through your preferred communication channel or privately and publicly on social media such as Facebook and LinkedIn. The following pages walk you through all the possibilities.
You can share your company’s career opportunities from your Job Board and Opportunities pages
By clicking on a “Share” button, several options will be proposed to you to share an opportunity. You can share on social media, privately or publicly, and you can also share it through your preferred communication channels by copying the provided link.
Candidates that receive a private share (i.e., private message in their social network application or copied link) and that follow the link that is provided, will be connected to you automatically in UGO when they register. This way, we make it easy for them to ask you to refer them if wished.
You can share opportunities publicly on your social media walls such as Facebook and LinkedIn.
Choose your social media you want to share an opportunity to and follow the wizard.
Select “Share in a post” to share it on your LinkedIn wall. This post will then be available publicly on LinkedIn.
The Facebook wizard will prompt different ways you can share an opportunity. Select the one of your choosing.
You can share opportunities privately on your social media walls such as Facebook and LinkedIn.
Select “Send as private message” to share it with a specific LinkedIn contact, in his LinkedIn messaging.
The Facebook wizard will prompt different ways you can share an opportunity. You can select a specific friend or a group of friends.
Finally, you can also choose to copy the link from the share window to send an opportunity on your preferred communication channels.
Simply click on the “Copy” button to copy the link and paste it wherever you wish (e.g., email, WhatsApp, Messenger, etc.)
